Wrong Owner or Vehicle Details in an RC Download: What to Do

Handle an RC copy with mismatched or outdated details, preserve evidence, and distinguish a retrieval problem from an official record correction.

Stop before sharing the incorrect copy

If an RC download shows details you do not expect, pause before forwarding it to an insurer, buyer, lender, or office. A convenient copy becomes less useful when a recipient has to work out why it conflicts with your other papers. Keep the file privately so you can investigate, but do not describe it as confirmed or corrected information.

Write down the exact discrepancy. 'Wrong RC' is less helpful than noting that the registration number differs, the owner name appears old, or a vehicle field does not match. Check all pages and distinguish a missing or masked field from a field containing a conflicting value. These observations guide the next step without requiring you to guess why the problem happened.

Check the submitted identifier

Compare the registration number submitted to the service with a reliable source record and with the number shown in the downloaded file. Similar numbers can belong to different vehicles, so a one-character mistake matters. If you were helping a family member or handling several requests, confirm that you opened the right downloaded file for the order.

If the input was wrong, do not test more variations casually. Preserve the order reference and follow the service's instructions for that situation. If the input was correct but the result appears unrelated, report the mismatch and avoid sharing the other person's details. Cropping a screenshot to the relevant identifiers is usually more appropriate than sending the complete document to several people.

Account for recently completed changes

A transfer, address update, or finance-related change may explain why an older saved document no longer matches your expectations. Compare the retrieval date with the date of the official action and check its status. Submission, approval, record update, and delivery are separate stages; a receipt alone may not tell you that every displayed record now reflects the change.

Keep the old and new files clearly labelled during the comparison. If you have an official acknowledgement, retain its reference and use the appropriate official status channel. Do not rely on repeated paid retrievals as a substitute for checking whether a transport application has been completed. A document provider can only return the information available to its retrieval process.

Use the authority for underlying corrections

When the official vehicle record itself needs a change, use the relevant transport authority's service. Parivahan publishes forms and VAHAN provides vehicle-service workflows, including address and ownership-related actions. The exact route depends on the error and your authority's current requirements. Ask for the correct correction procedure instead of selecting a service merely because its title sounds similar.

GreenTick PDF cannot change the registered owner, engine details, address, or other official information by generating another copy. Neither can a print shop make an official correction by editing text in a PDF. Even a small spelling change should be addressed through the source record when required, then checked through an appropriate fresh document after the official process is complete.

Send evidence to the correct support channel

For a retrieval mismatch, contact the document service with the order reference, the entered registration number, and a precise description of the problem. For an official record problem, contact the authority with the relevant application reference and supporting records. Keep these conversations separate so the right organisation can act on the part it controls.

Do not include passwords or OTPs in either message. If someone asks for supporting documents, verify the channel and provide only what is necessary. On a shared device, save evidence in a private location and remove the temporary local copy afterwards. If another person's details were returned unexpectedly, avoid further access and tell the service so it can investigate safely.

Verify the outcome before restarting the task

Once the issue is resolved, obtain the appropriate current copy and compare the relevant fields again. A verbal assurance or a new filename is not enough; inspect the actual document you plan to submit. Let the receiving organisation know when a corrected version replaces an earlier attachment so it does not continue reviewing outdated information.

If you need a printable copy after confirming the source details, review the current RC download page and proceed with the correct authorised information. Keep the final file and useful references privately, and remove obsolete shares that could confuse recipients. The goal is a consistent document trail: reliable source details, an accurately retrieved copy, and a recipient who understands which version is current.
