Before sending an RC, establish the purpose and the recipient's required format. A buyer reviewing a vehicle, an insurer requesting paperwork and a print shop producing a copy do not necessarily need the same amount of information. Ask for the relevant upload channel or address. This simple step reduces accidental disclosure and avoids repeatedly forwarding a complete document through several intermediaries.
An RC can include personal and vehicle identifiers that are useful for authorised tasks but unnecessary in a public advertisement. Review the document before sharing. Do not assume that a compact PDF contains less sensitive information than a photograph of the original. The amount of information depends on the fields returned, not on the file's size or appearance.
Check the destination carefully
Use the recipient's established channel and confirm its spelling or domain before uploading. If a message unexpectedly requests documents, verify the request through a known contact route. A familiar logo in a forwarded message is not sufficient evidence of the destination's identity. Avoid putting a complete RC into an unrestricted shared link just because that is the quickest option on your phone.
For a document centre, agree on what will be printed and how temporary files will be handled. Stay signed out of unrelated personal accounts on shared devices. If you must use an account for an official task, sign out when finished and check that the browser has not retained your session. Keep your own saved copy rather than relying on the centre's computer.
Preserve originals and label extracts
Keep the original retrieved PDF intact. If a recipient only needs a screenshot of a specific error or a particular field, create a separate extract and explain its purpose. Do not describe a cropped image as the complete RC. Altering or hiding content in a copy does not change the underlying vehicle record and may make the file unsuitable for a formal submission.
For an official requirement, ask whether an issuer-provided digital document, certified copy or another source is required. DigiLocker distinguishes issued documents from user-uploaded files, which is relevant when a recipient specifies provenance. A privately retrieved PDF should be described accurately. Its usefulness for printing does not make every receiving organisation accept it for every purpose.
Keep a small sharing record
For important paperwork, note the date, recipient and reason for sending the document. You do not need to build a large spreadsheet of personal data to do this. A brief private record helps you identify which version was shared and whether an updated document needs to be sent later. Keep acknowledgements for submissions that matter to you.
If you discover that a file went to the wrong recipient, act through the relevant communication channel to request deletion and follow the organisation's applicable process. Avoid spreading the document further while explaining the mistake. Finish the task and clear temporary copies
After printing or uploading, confirm that your own PDF opens and is saved in a private place. Remove unnecessary downloads from shared computers, temporary messaging attachments and public folders.
