Business documents that arrive as signed PDFs

GST registration certificates, Form 16 files, tax records, MCA documents, company certificates, invoices, orders, and other official business records can contain digital signatures. The GST portal, for example, provides its registration certificate as a downloadable PDF.

These files may be shared during bank reviews, loan documentation, vendor onboarding, tender submissions, audits, tax work, office registrations, and customer due diligence. Each recipient decides the records and format it needs.

The original signed file is essential

Download the certificate or statement from the official portal, employer, issuer, or authorized account. Forwarding apps and editing tools can sometimes recreate a PDF in a way that removes or breaks its signature data.

Keep the original file unchanged. A screenshot, photo, scan, or print-to-PDF copy may look identical but cannot provide the same cryptographic evidence as the embedded signature in the source PDF.

What signature verification checks

A proper check confirms that the signature covers the expected document content, that the signed bytes have not changed, and that the signing certificate can be connected to trusted issuer information. A visual logo alone proves none of this.

The Controller of Certifying Authorities explains that verification requires the signer's public key and the issuer certificate chain. That is why one viewer may show a green tick while another reports an unknown signature.
